Tips and Tricks for Downloading Zoom Recording to Google Drive

Once you've downloaded the recording file from the Zoom cloud, you can upload the file to your Google Drive and share it with those who will need to access it. You may share with students, faculty, staff, and non-Brown affiliated individuals, just as you may for any other item in your Google Drive.

If you have a Zoom recording stored locally, you can upload it to Google Drive by selecting the file from where you stored it on your computer, just as you would once you've downloaded a Zoom recording from the cloud. If you cannot locate your recording, go to brown.zoom.us and select the "Local Recording" section. It's next to the Cloud Recording title in the "Recordings" section. You will see a list of the recordings and location where the file is stored on your computer.

This automation will save you time by automatically uploading your Zoom cloud recording directly to your Google Drive folder. You won't have to download the file to your computer from Zoom first and then to re-upload the file to Drive.

Please note: Your recordings will be stored for a maximum of 120 days and then automatically deleted. To keep them longer, you can instead automatically move Zoom cloud recordings to Dropbox. Or, if you would like to save your recording for personal use and permanent storage, you can download from the "My recordings" page in Zoom and store on your Google drive. If you would like to save your recording for future academic uses, you can transfer your Zoom recording to Panopto.

If your recording was saved to the Zoom cloud and you intend to share it from there, you can "set playback range". This doesn't edit the video, but limits what a viewer will see. The original recording is not affected. If it is downloaded, the whole video is saved. More information is available on the Zoom website.

If your recording was saved to the Zoom cloud, download it to your local computer. To do this log into your Zoom account, from the left side menu navigate to the "Recordings" page, press the "More" button next to the appropriate meeting and select "Download".

This action allows you to download cloud recordings directly from Zoom and send them to downstream applications. When cloud recordings are finished in Zoom, you can send them to CRM tools like Salesforce so the recordings for a sales call can be at a salesperson's fingertips.

In cases where your cloud recordings are protected and no download token is available (or if the token has expired), you will have to generate a new download token using a JWT app in your Zoom instance.

If you are using Cloud recording completed in the New events trigger, the output provides a download token. This token allows you to download this cloud recording even if it is password protected (which is a recommended default for security.) This token expires in 24hours after the recording is completed.

Our distributed geography means that it is not always possible for the whole company to attend every meeting. To minimize this issue, we record certain meetings so they can be watched later. These recordings include company update meetings that are relevant for a couple of weeks, and other presentations such as neural network design classes, which stay relevant for years. To make sure that these Zoom recordings are preserved and easily accessible, we developed a tool, the Zoom-drive connector, that automatically manages the storage of any recorded meeting. The connector pulls the recording from Zoom storage, then uploads it to our Google Drive account. The direct link to the recording is then announced on Slack.

This tool allows you to manage multiple Zoom meetings, and upload the recording of each meeting to a specific, per meeting, Google Drive folder (or shared drive), then send a notification to your chosen Slack channel once it is available. This functionality allows a single instance of the tool to keep track of all relevant recurring meetings. The Slack notification links directly to the recording, allowing easy access for any team members that were unable to attend the live version (see Fig. 2 for an example).

If you want to download a Google Meet recording in an even easier way, then first download tl;dv for chrome. tl;dv is a video recording software that you can use for free to record unlimited meetings.

Note: Zoom cloud recordings will remain available for 180 days (30 days for members of the BAA). If you wish to retain a Zoom cloud recording beyond 180 (or 30) days, download the recording and keep a copy somewhere else, such as Google Drive, Box Secure Storage, or Kaltura Mediaspace.

Remember that Zoom cloud recordings are only stored on the Zoom server for 6 months because of storage limits on our account. If you do need to save a recording, you need to download and archive the video files to either Google Drive or Panopto. Here is the article on the Zoom Retention Policy and the article on archiving Zoom recordings to Panopto.

Slack is one of the most useful Zoom apps for work. This extension allows users to begin a Zoom meeting from a Slack channel or direct message instantly by using a /zoom command. Participants can join meetings with a single click. Admins can access records of which employees join, to better keep track of attendance during video calls. The app can also post meeting summaries and recordings directly into Slack, making it easy to consolidate remote work happenings into one central hub.

Zoom users can also record audio and video from meetings on a local computer. Recorded meetings can also be saved on personal cloud storage services like Google Drive and Dropbox. Zoom generates a URL for the downloaded recordings. Users can then share downloaded meeting links with other users.

When recording meetings that include Protected Health Information (PHI) or other regulated data, please be aware that all regulatory requirements apply, including HIPAA. While Zoom has been certified for use with meetings that include such data, you are responsible for ensuring regulatory requirements are met sharing, downloading, and storing the recordings, as with any other regulated content.

Cloud Recordings do not need to be downloaded. They can simply be streamed online. However, although it is possible for local recordings to be streamed on the cloud service that they are being shared on, it is highly suggested to download local recordings instead and play them locally instead of streaming them on the cloud service, as steaming .mp4 files on the cloud may potentially cause streaming issues.

We recommend uploading recordings that should remain accessible to others, including instructional content, to BU MyMedia (Kaltura). Please be sure to delete any local copies of recordings after uploading to their final destination to free up valuable hard drive space on your computer.
